Scheduled Events Calendar

Scheduled Events Calendars are designed to schedule and manage various types of events. You can use them to build a Release Roadmap with milestones, deployments, test runs, data refreshes, reboots, freeze periods, and more. In this article, you’ll learn how to create and manage Scheduled Events Calendars.

Instead of Scheduled Events Calendars, we recommend using Jira Issues Calendars that offer more capabilities: change history, custom fields, workflows, event custom layout, etc.


Requirements

  • Ensure that you are familiar with basic concepts and Calendar features described in the Timelines article.


Creating a Scheduled Events Calendar

Requirements

  • You must be a Timeline Owner.

Steps

  1. Access the Timeline where you wish to create a Scheduled Events Calendar.

  2. Click Edit at the top right corner of the page.

  3. Click + Add a Calendar in the Calendars section on the right of the screen.

  4. Click + Create a new calendar at the bottom of the list.

  5. Choose Scheduled Events.

  6. Enter a Name for your new Calendar.

Import an iCal / ICS Calendar

To import external calendars in iCal / ICS format (e.g., Google agendas or Confluence Team Calendars), follow these steps:

  1. On the Calendar creation dialog, click iCal Import to display the fields.

  2. Specify the iCal URL you want to download from.

  3. Enter a Username and Password (if authentication is required).

  4. Click Done.


Creating a Scheduled Event

To create a new Scheduled Event, you can use one of the following methods:

Dragging and Dropping

  1. Access the Timeline where you want to add an event.

  2. In the Calendars section on the right side of the screen, drag the desired Calendar and drop it onto the timeline at preferred time and date.

Using the Calendars Menu

  1. Access the Timeline where you want to add an event.

  2. In the Calendars section, click on the desired Calendar to create an event.

Alternatively, click the Calendar Actions button (three horizontal dots) and select Create Event.

Step 1: Set Basic Information

  • Title: Name of the event displayed on the Timeline

  • Date(s): Start/end dates of the event. Additional options:

    • All Day: Round start/end dates to the day.

    • Milestone: Convert event to Milestone. A Milestone has no duration (no end date).

  • Calendar: A Scheduled Event only belongs to one Scheduled Events Calendar. You must have required Calendars permissions.

  • Color: Choose a specific color for the Event on the Timeline (default color is the Event's Calendar color).

Step 2: Add Planned Environment(s)

Use this section to specify which Environment(s) will be used or will be impacted by the Scheduled Event.

  1. Click the Add button

  2. Specify which Environment(s) will be impacted by the Scheduled Event.

  3. Select the Environment Planned Version.

  1. Select the Environment Planned status.

  2. Click Create.


Editing a Scheduled Events Calendar

Requirements

You need one of the following permissions:

  • EDIT or ADMIN Calendar permissions.

  • Global permissions: Golive Administrator or Manage Calendars.

Steps

  1. Access the Timeline where you want to edit a Scheduled Events Calendar.

  2. In the Calendars section on the right side of the screen, click the corresponding Actions button (three horizontal dots icon).

  3. Click View/Edit.

  4. Make any necessary changes.

  5. Click Done.


Removing a Scheduled Events Calendar

Info
This action will only remove the Scheduling Event from the Calendars section and will not delete the event itself.

Requirements

You need one of the following permissions:

  • EDIT or ADMIN Calendar permissions.

  • Manage Calendars global permission.

Steps

  1. Access the Timeline where you want to remove a Scheduled Events Calendar.

  2. In the Calendars section on the right side of the screen, click the corresponding Actions button (three vertical dots icon).

  3. Click Remove.
